We've been transcribing clinical documentation since 2005 for hospital networks, multi-specialty practices, behavioral health organizations, and consulting firms. Every transcriptionist is US-based, signs a confidentiality agreement, and works in an audited environment.
How our transcription service works
• Dictation. Your provider dictates via phone, mobile app, recorder, or directly through your EHR's voice-capture feature.
• Secure upload. Audio is encrypted in transit and at rest. Files are routed through a HIPAA-compliant intake system, not email.
• Transcription. A trained transcriptionist familiar with your specialty produces the note. No offshore handoffs.
• QA review. Every note is reviewed by a second-tier QA editor before delivery. That's what gets us to 99%+ accuracy.
• Delivery. Notes are returned via your EHR (Epic, Cerner, Athena, eCW, NextGen, etc.) or via secure portal in your preferred template — SOAP, H&P, consult, discharge summary, op note.

Turnaround times and quality standards
Standard turnaround is 24 hours, but we offer 12-hour, 8-hour, and 4-hour STAT options for time-sensitive documentation (ED notes, hospital discharge summaries, op notes). Accuracy is 99%+ measured on a sampled, audited basis — verified by a second-tier QA reviewer before every delivery.
Security and HIPAA compliance
Patient confidentiality drives every part of our infrastructure. Audio is encrypted in transit (TLS 1.2+) and at rest (AES-256). Access is role-based with multi-factor authentication. Every transcriptionist signs a confidentiality agreement and completes annual HIPAA training. We provide signed BAAs to all clients and can supply compliance documentation on request.
EHR integration and delivery
Transcribed notes can be delivered directly into your EHR — embedded as text, dropped into your template fields, or returned as structured documents ready for your provider to sign. We've integrated with Epic, Cerner, Athenahealth, eClinicalWorks, NextGen, AdvancedMD, Kareo, and most behavioral-health-specific platforms. For practices without direct integration, we deliver via secure portal.
Pricing and engagement models
We price two ways. Per-line pricing (industry-standard 65-character line, $0.07–$0.12 per line depending on specialty and turnaround) is best for variable volume. Flat-fee per-encounter pricing is available for predictable-volume practices that prefer budget predictability.
There are no setup fees, no minimums, and no long-term contracts beyond the initial 90-day evaluation period.
Frequently asked questions
How does your accuracy compare to AI/speech-recognition transcription?
AI gets you 85–93% out of the box for general dictation, but it struggles with specialty vocabulary, accented speech, and complex grammatical structures. Human-edited transcription stays at 99%+. Most of our clients use a hybrid approach for non-clinical documentation but rely on human transcription for anything that goes into the medical record.
Can you handle high volume?
Yes. We routinely handle 1,000+ encounters per week per client and can scale up or down by week. For new high-volume clients we ramp over 2–3 weeks to maintain quality.
What about turnaround for ED or STAT cases?
Our 4-hour STAT tier is built for ED, ICU, and discharge documentation. Files dictated by 6 PM are delivered before midnight.
Do you offer virtual scribe services instead of post-hoc transcription?
Yes — we operate both. Some practices prefer post-hoc transcription (dictate now, document later); others prefer real-time virtual scribes joining the encounter. See our Virtual Medical Scribe Services page.
